Refund Policy for Conference Registration Fees

Digital Learning and Research Foundation (DLRF)

The Digital Learning and Research Foundation (DLRF) values the commitment of participants and strives to ensure transparency in its registration and refund process. This policy governs the terms and conditions under which refunds may be granted for conference registration fees.

1. General Conditions

  • All requests for cancellation and refund must be submitted in writing via email to the official conference secretariat at editor@dlro.org
  • Refunds, where applicable, will be made only to the original source of payment.
  • All refunds are subject to deduction of applicable administrative, banking, and payment gateway charges.

2. Refund Schedule

  • Cancellations made 90 days or more prior to the commencement of the conference: Eligible for a 100% refund of the registration fee (after deductions).
  • Cancellations made between 60–89 days prior to the commencement of the conference: Eligible for a 75% refund (after deductions).
  • Cancellations made between 30–59 days prior to the commencement of the conference: Eligible for a 50% refund (after deductions).
  • Cancellations made less than 30 days prior to the commencement of the conference: No refund shall be granted.

3. Substitution of Participants

  • A registered participant who is unable to attend may nominate a substitute delegate from the same organization.
  • Requests for substitution must be communicated in writing at least seven (7) days prior to the conference start date.
  • Substitutions are subject to confirmation by the conference secretariat.

4. Cancellation or Postponement by Organizers

  • In the unlikely event that the conference is cancelled, postponed, or rescheduled by DLRF, participants shall be entitled to either:
    • A full refund of the registration fee paid, or
    • Transfer of the registration to the rescheduled event.
  • DLRF shall not be liable for any ancillary costs incurred by participants, including but not limited to travel, accommodation, or visa expenses.

5. Processing of Refunds

  • Approved refunds shall be processed within 30 business days from the date of approval.
  • Confirmation of refund will be sent via official communication channels.

6. Non-Refundable Charges

  • Bank transfer fees, payment gateway charges, service taxes, and similar transaction costs are strictly non-refundable.
